Program Overview and Job Summary:
Keystone Science School’s strong brand is built on a longstanding reputation of providing high-quality educational and character-building programs to youth and adults for over 40 years. A key element to our success is in our capacity to fundraise through events, grant writing, and strong relationships with generous individuals. The Development Coordinator works in partnership with the program team, Development Director, Executive Director, and volunteers to oversee our annual events, assist with data analysis for grant proposals and reports, manage donor data confidentially, and provide administrative support to the Development team and Executive Director. A key piece of this position requires the ability to use various software systems to accurately track donor giving and ensure donors are acknowledged appropriately.
The most successful candidate will be adept at managing high volumes of data confidentially, problem-solving efficiently, and applying excellent interpersonal skills to a broad audience.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Main areas of focus:
- 40% Donor data management;
- 40% Event management;
- 10% Grant support;
- 10% Development and general administrative support;
- Other duties as assigned.
Donor Data Management
- Manage and maintain donor database to include basic donor information, donations, and donor acknowledgements;
- Prepare and provide donor metric reports utilizing DonorPerfect to the Development Director and Executive Director that drive development decisions and actions;
- Work in partnership with the Staff Accountant to reconcile monthly donations between DonorPerfect and QuickBooks to ensure all donors are entered and appropriately acknowledged;
- Manage in-kind donations including tracking, gift acceptance, and gift acknowledgements;
- Collaborate with the Marketing Department to maintain donor email lists and edit monthly donor newsletters;
- Manage the successful execution of an annual Fall Mailing solicitation to donors through coordinating the overall milestones to completion and the compilation of the mailing list;
- File all donation-related paperwork.
Event Management
- Successfully engage and work with KSS’s volunteer event committees by drafting committee agendas and preparing meeting materials to more efficiently manage events;
- Provide administrative and management support for special events including donor data management, registrations, guest lists, in-kind tracking, and mailings;
- Draft event marketing and social media with the support of the Marketing Department;
- Prepare Final Reports for events that illustrate effectiveness of the event in terms of financial goals and impact;
- Solicit and obtain items for annual silent auction.
Grant Support
- Assist Development Director in compiling and analyzing year-end program data for Final Reports.
- Proofread grant requests and reports on an as-needed basis.
Development and General Administration Coordination
- Actively use data to inform decisions on the efficacy of campaigns, events, and appeals;
- Schedule meetings on an as needed basis for KSS Executive Director;
- Schedule KSS Board Meetings and communicate to board members; and
- Manage board paperwork related to on boarding and off boaring including annual signed packets and other required paperwork.

Our required education, experience, and certifications:
- Bachelor’s degree from a four-year college or university;
- Minimum of 3 years of relevant work experience;
- Current First Aid and CPR certification or ability to obtain within 60 days of employment;
- Excellent driving record and a valid driver’s license;
- Must be able to successfully pass a comprehensive background check.
In addition to the above required talents, our ideal candidate will have these preferred skillsets:
- Desired computer skills include proficiency with Microsoft Office (Word, Excel, etc.), experience managing a donor database (DonorPerfect preferred), familiarity with QuickBooks (non-profit accounting version);
Travel expectations:
This position does not require travel outside of Summit County on a regular basis.

While performing the duties of this job, the employee often works outside and drives vehicles in various weather conditions.
Compensation:
- Salary range is $40,381 - $48,000 per year depending on experience, plus a generous benefits package including:
- 75% employer-paid medical and dental premiums for the employee and dependents;
- 100% employer-paid short- and long-term disability, $50,000 life insurance policy with matching AD&D benefit;
- Up to 120 paid PTO hours, 96 paid sick hours, and 80 paid holiday hours, pro-rated based on hours worked;
- 401K retirement savings plan with a 3% employer match contribution;
