Overview:
Core Responsibilities:
Oversight of Organization Technology Needs:
In coordination with outside experts as needed, responsibility over all MS’s technology functions/needs to include troubleshooting IT problems (computers, printers, etc.), orienting new staff to organization devices (MS is an Apple-based office), and serving as point person for cloud-based systems such as Quickbooks, Keeper, Google Admin, Dropbox, Smug Mug, Blackbaud Merchant Services, etc.
General Office Management
Responsibility for the management of the office to include its appearance, material needs, filing, setting out trash and recycling, office scheduling, fleet management (WNC and HO vehicles), etc.; Assist generally with office/administrative needs as they arise in support admin staff; The Administrative Assistant is expected to serve as ‘front of house’ at MS’ Brevard offices including answering phone calls, greeting visitors and filtering emails via MS’ general email account. The Administrative Assistant will also be asked to provide periodic support, as needed, to the Piedmont Field Office until a time when that office has it’s own administrative support person.
Assisting with Outreach/Fundraiser Events
In coordination with the Development Director and at times the FODs, periodically assist staff, friends/partners and board of directors with the implementation of general outreach events to include festival booths, conferences, third party beneficiary events, etc.
Field Office Programming Support
Assisting program leadership/staff with meeting logistics, program related data entry, and school invoicing (Quickbooks).
Financial Reporting
In coordination with the Executive Director (ED), both Field Office Directors (FODs) and MS’ contracted bookkeeper, manage and coordinate all processing of monthly and bi-monthly reporting to include: debit records/deposit logs, credit card reports, mileage reimbursements, and invoice processing. Duties will also include supporting annual 990 and audit processing and making weekly deposits at the bank.
The Administrative Assistant is a 12-month position that reports to the Executive Director. The position will require a minimum of 25 hours per week as a part-time role but could be offered with as many as 35 hours per week as a full-time position (with increased benefits).
Education Requirements:
Applicant must have at a minimum a Bachelor’s Degree, preferably with prior professional experience in administration, non-profits, business management and/or another related field; equivalent work experience may be considered in place of a college degree.

- Starting compensation offered at $15/per hour, commensurate with experience.
- Full-time staff receive three (3) weeks of starting annual paid time off (PTO) in addition to ten (10) paid annual office holidays; Part-time staff receive one (1) week of PTO in addition to 10 paid annual office holidays, should they all overlap with the employee’s schedule.
