Overview:

Mass Audubon is seeking a highly organized, detail oriented, systems-minded, and people-friendly professional to serve as South East Operations Manager. This position has overall responsibility for a wide range of functions critical to the day-to-day operations of the sanctuaries/programs within Mass Audubon’s South East Region.  In addition to managing day-to-day activities, this Manager will be a member of the Regional Leadership Team, helping to develop policy, budgets, and strategic plans.

Duties & Responsibilities

Staff Management and Supervision:

  • Hire, train, and supervise part-time and full-time operations and administrative staff and volunteers across the sanctuaries of the Region.
  • Coordinate operations and administrative staff schedules and activities across multiple sites to ensure proper staffing levels and back-up staffing, when needed.

 Budget & Financial Management:

  • Ensure integrity and security of cash handling procedures; oversee cash flow, deposits, invoice payments, check requests, personal reimbursements and fund transfers.
  • Assist the Regional Director in preparing the annual operational budget and assist Regional Director and senior leadership team to ensure the goals and objectives are being met throughout the fiscal year.
  • Assist the Regional Director and other managers with financial analysis, including trends analysis and budget development.

Administrative Management:  Ensure that administrative needs within the Region are met, including:

  • Facilitate communications and exchange of information between departments and locations.
  • Ensure visitor-facing communications (including sanctuary phone messages, display cases, brochures, and website information) are up to date. 
  • Ensure that inquiries received are directed to the appropriate staff person or department within the Region.
  • Create training and standard operating procedures for visitor services and administrative staff and volunteers.
  • Respond to or re-direct requests from visitors and members for detailed information.
  • Manage timesheets for operations staff.
  • Coordinate management of permits, contracts, and staff housing agreements.
  • Maintain and assist staff with office equipment.
  • Order office supplies and maintain appropriate inventory levels.
  • Provide logistical support for Mass Audubon meetings and gatherings.
  • Manage the rental and scheduling of facilities for meetings by outside parties as well as internal needs as appropriate.
  • Maintain safety records for staff and visitor accidents and incidents, ensuring reporting to Business Office in appropriate timeframe.
  • Oversee registration for birthday parties and rentals.
  • Oversee registration for programs and camps.
  • Oversee giftshop purchasing, budgeting, and inventory management.
  • Develop calendar for special events ranging from under 100 to over 3,000 participants; set event planning meetings; manage event signage, admissions, and permitting/police detail, and supplies ordering; maintain financial and attendance information on events to inform future year planning.

Membership:

  • Collaborate with Membership Department to enhance membership recruitment and retention strategies including serving as or training and support of Member Recruitment Specialists for spring and fall recruitment drives.

 Other:

  • Act as the Personal Information Protection (PIP) Coordinator and participate in Safety Committee and ensuring that training and compliance requirements are met.
  • Ensure that policy manual handbooks are up to date.
  • Perform a variety of administrative duties including support for the Director, which may include paperwork for new hires, routine correspondence, and room bookings. 
  • Perform additional related duties, as requested.

Region Specific Additional Duties: 

  • Assisting with the preparation of financial reports and budget tracking for grants and projects.
  • Oversee day to day operations at our visitor’s center(s) and manage service contracts for our visitors centers and facilities.

Must Haves: 

  • Associate’s degree plus four or more years related managerial and operational experience; or equivalent experience. 
  • Must be highly organized, have excellent communication and customer service skills, and ability to interact with the public.
  • Must have supervisory experience.
  • Proficiency in MS Word, Excel, Teams and other software, as required.
  • Have or be willing to acquire First Aid and CPR certifications and be able to respond effectively to emergencies.
  • Must have a valid driver’s license.
  • Must be willing to work occasional weekends and evenings.

Nice to Haves: 

  • Experience with project or grant budget management and knowledge of federal grant requirements.
  • Experience using Microsoft forms, Microsoft Flows/Power Automate, and Microsoft Planner.

Compensation & Benefits

  • This position’s base salary range is $59,600 - $67,010; actual salary will reflect level of experience and qualifications relative to position requirements.

Additional Information

  • Work Schedule:  5 days a week, ideally Tuesday-Saturday or Sun-Thursday with some flexibility

  • Employees must successfully complete a CORI and SORI Background Check and a Motor Vehicle Record (if applicable) is required.
