Overview:

The Program Registrar oversees all aspects of the registration process for programs in the South East (Plymouth and Bristol Counties) and Islands (Nantucket and Martha’s Vineyard).  The Registrar provides excellent customer service through phone, email, and in person communications, and maintains the professional standards of Mass Audubon. This position serves as the liaison between the South East and Islands Regional Education Departments and the parents, schools and organized groups booking a program or visit.  The Registrar will support both regions. The Registrar has an important and integral role as a customer-oriented ambassador of Mass Audubon properties, programs, and mission. 

Duties & Responsibilities

Schedule and assist parents and customers to register for South East and Islands educational programs: school, and group outreach programs, group visits to the sanctuaries, summer camp, preschool, and vacation week programs. Assist customers with registering for public programs. Answer participants’ and parents’ inquiries, issue invoices and bills, process payments, manage payment plans, and follow up on unpaid charges as follows:  

  • Enter and maintain program listings in the online program registration system.  
  • Register all schools and groups onsite and outreach programs.  
  • Act as liaison between school/groups and the education department.  
  • Work with educational staff as needed to schedule programming and maintain education program and special events calendar.  
  • Manage registrations for preschool, day camp, and vacation week programs. Help to ensure that registration, health forms and other paperwork are complete and received in timely fashion. 
  • Assist with registrations for public on-site or virtual programs.  
  • Assist with onsite registration for special events, large programs, and/or fundraisers as needed. 
  • Work with staff to answer participants’ and parents’ inquiries; forward requests as needed to the appropriate staff. 
  • Work with the operations manager to ensure that programs are invoiced and payments are processed appropriately.  
  • Run reports and queries and maintain integrity of data collected in the registration process. Work with the IT team to troubleshoot and resolve any technical difficulties. 
  • Work with statewide administrative team to collaborate on best practices and development of new procedures. Attend statewide administrative team meetings as appropriate. 
  • Provide additional support to the Regional teams as needed, including some general visitor services and membership responsibilities.  
  • Work some weekends and holidays required, as needed.  
  • Provide additional support to the South East and Islands team as needed.

Must Haves:

  • Must be at least 18 years of age.  
  • Strong verbal and written communication skills, experience in sales, experience in customer service, and detailed organizational skills preferred. 
  • Excellent people skills and enthusiasm for a team working environment. 
  • Proficiency in MS Word, Excel, Outlook, Teams and ability to manage specialized databases as developed by Mass Audubon.   
  • A demonstrated ability to work well with other staff, volunteers, and community representatives as well as independently when necessary. 
  • CPR/First Aid Certification or willingness to get certification. 
  • Ability to relate to a diverse range of people and exercise cultural competence and inclusion. 

Nice to Haves: 

  • Associates degree or equivalent experience a plus. 
  • Interest in environmental issues and/or natural history  

Compensation & Benefits

This position’s base salary range is $18.35-$20.57; actual salary will reflect level of experience and qualification relative to position requirements.

Additional Information

Work Schedule: 

40 hours per week, generally Monday through Friday, with some variability.

This position based at North River and remotely working for the Islands Region in addition to the South East.

Other Requirements:

Employees must successfully complete a CORI and SORI Background Check and a Motor Vehicle Record (if applicable) is required.

Mass Audubon requires that all staff, regardless of their work location, disclose their vaccination status. Proof of vaccination status will be required immediately upon hire. This should also include a booster shot if it has been 5 months since you were initially vaccinated.
