The Administrative Operations Coordinator - EEC Graduate Program is responsible for providing administrative support to facilitate the operations of the EEC Graduate Program by maintaining the digital infrastructure, scheduling meetings and trainings, providing student support services.
Job Title: Administrative Operations Coordinator - Education, Environment & Community (EEC)
Classification: Full-time/annual, Hourly/non-exempt
Work Schedule: Monday through Friday; flexible - may include some nights and weekends
Work Location: Bainbridge Island Campus; some remote work possible
Pay Rate: $19.00 -$21.00 per hour

Key Responsibilities:
Representative responsibilities include, but not limited to:
- Assists the Recruitment Manager all phases of the recruitment and selection of prospective graduate students from start to finish
- Collaborates with EEC Team to coordinate graduate student services at IslandWood including but not limited to the scheduling of graduate program academic year, including assisting graduate students with housing and commons, training and manages all logistics to support graduate students with loan process and supports graduate students
- Supports the Recruitment manager to address concerns and to matriculate at the IslandWood and the University of Washington
- In conjunction with the Recruitment Manager and Communications team, this role supports the effort to create marketing materials used in external relations, including web site maintenance and preparation of printed materials.
- Manage administration and logistics of special programs or events, including meetings, trainings, workshops, graduation, etc.
- Serves as the coordinator for the administrative aspects of recruitment, scholarship program, and on-campus job opportunities for graduate students in conjunction with the HR Department.
- Develops, implements, and supports systems to identify and collect quantifiable metrics for reporting to internal and external constituencies. This includes, but is not limited to, information about graduate studies, publications, conference presentations, technical reports, and faculty expertise.
- Prepares and coordinates correspondence, presentations, and reports for the EEC Team.
- Provides and oversees support activities such as receiving and directing calls, maintaining calendars, scheduling appointments, scheduling training, and ensuring appropriate coordination with other departments and follow-up.

Required Qualifications:
- 5+ years of Admin/Operations support or a Bachelor’s degree with related experience
- Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis
- Proficiency in project management, planning and prioritizing tasks
- Experience working with cross-functional teams
- Excellent communication skills, both oral and written
- Proficient in MS Office, systems administration, and database management. Demonstrated ability to deal simultaneously with several projects and solve problems for a wide range of complex tasks
- Successful experience engaging with non-dominant communities
- Demonstrated commitment to educational equity, environment, and social justice
- Effective teamwork skills and commitment to collaborative work
Preferred Qualifications:
- Experience with Student Services and student administrative support a plus
- Knowledge of the principles and practices associated with graduate student services and administration
- Experience working in multicultural education environment
- Experience working with Pardot, Event Pro, Salesforce, Form Assembly, Docusign, Bamboo, and social media and presentations platforms a plus
